Office Moving Checklist for UAE Businesses
By HomeLoop Team5 min read
Moving an office is a project, not just a busy weekend. Staff, clients, equipment and data all need to arrive at the new address with as little downtime as possible. This checklist breaks the move into clear stages so nothing important gets missed.
Build a realistic timeline
The right timeline depends on the size of your office, but most moves benefit from starting early. A typical plan looks like this:
Two to three months before
- Confirm the move date and your notice obligations under the current lease.
- Appoint one person to own the move and be the main contact.
- Review the floor plan of the new office and decide where teams will sit.
- Request quotes from moving companies, starting with a site visit.
One month before
- Confirm building requirements at both the old and new locations.
- Plan IT and internet setup at the new office.
- Decide what furniture and equipment will move, and what won't.
- Tell clients, suppliers and partners about the new address.
One to two weeks before
- Start packing non-essential files and items.
- Label everything using a consistent system.
- Back up data and confirm the IT move plan.
- Share a move-day schedule with staff.
Move day and after
- Have the move lead on site at both locations.
- Check items off against your inventory as they arrive.
- Test IT systems, phones and internet before staff return.
- Hand back the old premises as agreed with the landlord.
Get building permissions sorted early
In the UAE, buildings and communities often require a move permit or NOC before you can move out or move in. Many also ask you to book the service lift and loading bay for a specific time slot, and some limit moves to certain hours.
Requirements differ between buildings, free zones and communities, so contact building management at both the old and new premises early and ask:
- What approvals or documents are needed to move out and move in?
- Do we need to book the service lift or loading area, and how far ahead?
- Are there set hours for moving?
- Are there rules on protecting floors, walls or lifts during the move?
Share the answers with your moving company so the plan fits the building's rules. Missing a permit or lift booking can delay the whole day.
Plan IT and data carefully
IT is often the part of an office move that causes the most disruption. Treat it as its own workstream:
- Back up data before anything is disconnected.
- Book internet and phone services at the new office early so connections are ready on time.
- Photograph cable setups at desks and server areas before disconnecting.
- Label each device with its owner and destination desk.
- Pack sensitive equipment in suitable boxes and move servers or network hardware with extra care.
- Test everything at the new site before the first full working day.
If you handle confidential documents, decide who packs and transports them, and keep them separate from general boxes.
Use a simple labelling system
Good labelling makes unpacking fast. Keep it consistent:
- Give each room, zone or desk in the new office a number or code.
- Label every box and item with the destination code, the department and a short description.
- Use coloured labels or tape per floor or department if the office is large.
- Keep a master inventory list and give copies to the moving team.
Put a floor plan with the codes at the entrance of the new office so movers know where everything goes.
Don't move what you don't need
An office move is a good time to clear out. Moving old desks, broken chairs and unused cabinets costs time and money, and takes up space in the new office.
- Walk through each area and mark items as move, sell, recycle or dispose.
- Check if the new office already has built-in furniture or storage.
- Sell surplus desks, chairs, cabinets and equipment you won't use.
HomeLoop buys used office furniture and equipment, or can list it for you, so you can sell what you don't need before the move instead of paying to transport it. If you need replacement pieces for the new layout, you can also look through used office equipment in the HomeLoop store.
Why a site visit before a quote matters
An accurate quote depends on details that are hard to judge from photos or a phone call:
- The actual volume of furniture, equipment and boxes
- Which items need dismantling and reassembly
- Access at both sites: lifts, loading bays, stairs, corridors and parking
- Floor levels and distance between locations
- Fragile or high-value items that need special packing
A site visit means the quote reflects your real move rather than a guess, and it reduces the risk of surprises on the day. HomeLoop always does a free site visit before quoting for office moving.
FAQ
How far in advance should we plan an office move?
It depends on office size, but starting two to three months ahead gives time for building approvals, IT planning, quotes and staff communication. Smaller offices may manage with less.
Do we need a permit to move offices in the UAE?
Many buildings and communities require a move permit or NOC and a service lift booking. Requirements vary, so check with building management at both the old and new premises well before the move.
What should we do with old office furniture?
Decide early what will move. Selling surplus furniture and equipment reduces moving volume and cost, and frees up space in the new office.
Why do movers need a site visit before giving a quote?
Volume, access, floors, dismantling needs and fragile items all affect the cost. A site visit lets the mover see these directly, so the quote is more accurate.
